Carry unresolved inquiries across a staff shift change

Prevent pending work from disappearing when responsibility moves to another team member.

01

The operational decision

Prevent pending work from disappearing when responsibility moves to another team member. A handoff is useful when the receiving staff member can identify the next action and its owner. Delivering a notification to a device is not the same as acknowledgment or a decision by an attorney.

02

Prepare the workflow

List unresolved items by owner and next action, confirm the receiving role and avoid transmitting detailed narratives in a broad shift message.

03

Example wording for approval

“The example shift handoff contains three pending review tasks with assigned next actions. The receiving staff member should acknowledge ownership before the prior owner signs off.”

04

Worked example

At a fictional shift change, the outgoing staff member has two normal inquiries and one unacknowledged urgent routing item. The handoff lists identifiers, pending actions and the incoming owner, without copying detailed matter narratives into a group chat. The incoming role acknowledges the tasks. If nobody accepts the urgent item, the approved backup process remains active. The review checks ownership continuity, not simply whether a summary email was sent at the end of the shift.

05

Handoff record

Record these task-specific fields: inquiry identifier, pending action, outgoing owner, incoming owner.

06

Acceptance check

Leave a fictional urgent item unresolved at shift end. The new owner should be explicit; a shared inbox alone should not count as a completed handoff.
