Resources / Staff notifications

Recover a failed intake notification without losing ownership

Give failed delivery a visible owner and a safe retry process.

01

The operational decision

Give failed delivery a visible owner and a safe retry process. A handoff is useful when the receiving staff member can identify the next action and its owner. Delivering a notification to a device is not the same as acknowledgment or a decision by an attorney.

02

Prepare the workflow

Identify the failure category, preserve the inquiry identifier and avoid creating duplicate inquiries for every retry.

03

Example wording for approval

“The example inquiry is saved, but its staff notification failed. The assigned operator should verify the approved alternate route and record the recovery result.”

04

Worked example

A fictional inquiry is saved successfully, but its first staff notification times out. Retrying should use the same inquiry identifier, allowing the operator to distinguish delivery attempts from new inquiries. When the second attempt succeeds, record the recovery and preserve the first failure for troubleshooting. The caller-facing message must not claim an attorney response. If the retry also fails, the approved alternate route should have an owner rather than leaving the item in an invisible background job indefinitely.

05

Handoff record

Record these task-specific fields: inquiry identifier, failure category, retry count, recovery owner.

06

Acceptance check

Fail the first delivery and succeed on retry. The staff system should contain one inquiry with a clear delivery history, not two separate prospective matters.
