Build a concise staff intake summary

Give the receiving team enough context to act without burying the next step.

01

The operational decision

Give the receiving team enough context to act without burying the next step. A handoff is useful when the receiving staff member can identify the next action and its owner. Delivering a notification to a device is not the same as acknowledgment or a decision by an attorney.

02

Prepare the workflow

Use a stable order for broad category, approved contact details, preference and status; separate caller statements from staff interpretation.

03

Example wording for approval

“Example inquiry: estate-planning consultation request, preferred callback window supplied, awaiting firm review. No appointment, conflict decision or representation acceptance is recorded.”

04

Worked example

A fictional staff summary includes a long conversational transcript but does not say whether the caller requested a consultation or an existing-matter update. Replace the default view with the approved category, contact preference, requested next step and status. Keep additional material in the firm's authorized review process. Ask a staff reviewer to decide the next operational action from that summary alone. If they must infer acceptance or scheduling state, the summary structure is still incomplete.

05

Handoff record

Record these task-specific fields: category, permitted contact, preference, current status.

06

Acceptance check

Give a staff reviewer only the summary. They should identify the next action without guessing whether a consultation or matter has already been accepted.
