The operational decision
Make alerts useful without displaying a matter narrative on a locked screen or shared inbox preview. A handoff is useful when the receiving staff member can identify the next action and its owner. Delivering a notification to a device is not the same as acknowledgment or a decision by an attorney.
Prepare the workflow
Use a short operational subject and an approved link to the review workspace; avoid copying unrestricted free text into the preview.
Example wording for approval
“New example consultation request awaiting review. Open the firm's approved workspace for the permitted intake fields and next action.”
Worked example
A fictional email subject contains a caller's detailed account because the system copies the first sentence of the message into the alert. Replace that preview with a short task label and an approved workspace link. Inspect email notifications on a locked screen and in a shared queue preview. The reviewer should understand that an inquiry awaits action without seeing the narrative. This is a content-design check, not a claim that a link alone establishes all necessary access controls.
Handoff record
Record these task-specific fields: alert label, secure destination, preview fields, editor.
Acceptance check
View the fictional alert as a short preview. It should reveal the task and status without including a detailed matter account or document content.
