The operational decision
Make it clear which wording the firm has approved and for what scope. Operational delegation should be explicit: staff and software need to know which actions are permitted and which require firm review. A smooth workflow is not a substitute for that approval record.
Prepare the workflow
Record the practice area, version, reviewer and effective date; attach unresolved conditions and prevent later edits from inheriting approval automatically.
Example wording for approval
“The example approval applies to this version of the initial-inquiry script only. New questions, practice areas or acceptance language require another review.”
Worked example
The fictional firm approves version two for one practice area, then a marketer adds a more assertive acceptance sentence to the closing. That new version needs review; the previous signoff does not travel automatically with the document title. Keep the exact approved text, scope and effective date in the record. A test should compare live wording with that approved version, allowing staff to detect an unauthorized change even when the page still displays an approval badge.
Handoff record
Record these task-specific fields: script version, approving role, scope, effective date.
Acceptance check
Change a substantive question after signoff. The workflow should mark the revision for review rather than displaying the previous approval as current.
