Resources / Measurement and budgeting

Set an overage review process before launch

Avoid an unclear response when the pilot approaches its agreed minute allowance.

01

The operational decision

Avoid an unclear response when the pilot approaches its agreed minute allowance. Intake measurement should show whether the firm receives usable inquiries and timely operational handoffs. Call volume alone does not establish legal merit, client acceptance, revenue or an improvement in professional outcomes.

02

Prepare the workflow

Define alerts, authorized budget changes and the fallback agreed with the firm; do not silently change the plan or stop an important route.

03

Example wording for approval

“The example usage alert asks the budget owner to review the agreed cap. Any change to allowance, coverage or fallback needs the approved commercial process.”

04

Worked example

A fictional pilot approaches its agreed monthly allowance halfway through the period. The alert should show usage, remaining time and the authorized budget owner. That person can review coverage or an agreed allowance change through the commercial process. The assistant should not silently switch to a more expensive plan or promise unlimited minutes. Test the agreed fallback before launch, because discovering what happens at a cap during a busy period leaves staff with an avoidable operational decision under pressure.

05

Handoff record

Record these task-specific fields: allowance, alert threshold, budget owner, agreed fallback.

06

Acceptance check

Reach the fictional threshold during testing. The alert should identify a decision owner and should not automatically promise unlimited answering.
