Define inquiry stages before reporting conversion

Keep requests, consultations and accepted matters from being combined into one misleading metric.

01

The operational decision

Keep requests, consultations and accepted matters from being combined into one misleading metric. Intake measurement should show whether the firm receives usable inquiries and timely operational handoffs. Call volume alone does not establish legal merit, client acceptance, revenue or an improvement in professional outcomes.

02

Prepare the workflow

Write entry and exit conditions for each stage and name the firm system that confirms the change.

03

Example wording for approval

“The example report counts a consultation request separately from a confirmed meeting and an accepted matter. Only the responsible firm process can move an inquiry into later stages.”

04

Worked example

A fictional report contains ten submitted inquiries, four confirmed consultations and two matters accepted through the firm's separate process. Calling all ten new clients would collapse distinct stages and overstate the outcome. Define each transition and its confirming source before building the dashboard. Test the figures against a small synthetic ledger. A consultation can remain confirmed even when representation is undecided, so the data model should not force every inquiry through one simplistic won or lost label.

05

Handoff record

Record these task-specific fields: stage definition, transition source, aggregate count, owner.

06

Acceptance check

Take five fictional inquiries at different stages. The report should preserve their distinctions instead of calling every submitted form a new client.
