Resources / Initial contact

Choose the minimum contact fields for an initial inquiry

Give staff a usable contact route without collecting every field available in the software.

01

The operational decision

Give staff a usable contact route without collecting every field available in the software. A first conversation should give the firm a usable inquiry without inviting a full account of a dispute. The assistant follows an approved business-intake script; an attorney decides what happens to the inquiry.

02

Prepare the workflow

Select the contact method needed for the next action, explain optional details and avoid demanding a full address without a firm-approved reason.

03

Example wording for approval

“What contact method would you prefer the example team to use? Please share only the contact details requested by the approved intake script.”

04

Worked example

A fictional first-contact form requests email, telephone, home address, employer and an open narrative, although staff only need a preferred callback route. Remove fields without an approved purpose at this stage. If email is optional, a caller who prefers telephone should still reach the correct request state. Inspect the staff summary to ensure the chosen channel appears clearly. The goal is usable initial contact, not a complete case file assembled before the firm has reviewed the inquiry.

05

Handoff record

Record these task-specific fields: preferred channel, permitted contact value, optional-field status, owner.

06

Acceptance check

Have a fictional caller decline an optional field. The assistant should continue through the approved fallback without treating the inquiry as invalid automatically.
