The operational decision
Evaluate a vendor using the firm's actual handoff and boundary requirements. Buy the specific intake workflow the firm needs, with clear limits and evidence. A product logo or broad feature list does not prove that an external calendar, case-management system or escalation route works for this firm.
Prepare the workflow
Request synthetic demonstrations of ordinary intake, advice refusal, failed routing and pending-review status; ask to inspect the resulting records.
Example wording for approval
“Please show a fictional inquiry from the first question to the staff record, including what happens if the caller asks for advice or the transfer fails.”
Worked example
A supplier shows a polished fictional intake conversation but will not show the staff record or the failed-transfer result. Keep those requirements unresolved. Ask for the exact field mapping, status labels and fallback behavior in the proposed configuration. A live voice can sound competent while the operational handoff remains incomplete. The procurement record should list what was observed, what was merely described and who must provide evidence before the firm approves the relevant part of the service.
Handoff record
Record these task-specific fields: requirement, test scenario, observed result, unresolved question.
Acceptance check
A vendor showing only a polished greeting has not demonstrated the handoff. Keep the requirement open until the staff record and failure path are inspected.
