Resources / Operational management

Prepare a backup operator to manage the pilot

Keep routine operations from depending on one person's memory or account access.

01

The operational decision

Keep routine operations from depending on one person's memory or account access. A reliable intake workflow needs an owner after launch. Staff availability, practice scope and public contact routes change, so the operating record should explain who can update the system and how changes are verified.

02

Prepare the workflow

Document control locations, permitted changes, approval contacts and restoration steps; exclude passwords and client narratives from the guide.

03

Example wording for approval

“The example backup operator may restore the approved route and report a defect. Changes to intake scope or legal notices require the designated firm approver.”

04

Worked example

The usual fictional operator is absent when the routing service fails. A backup should find the documented prior destination, restore it through the approved control and verify the outcome with a test call. The guide should explain who can authorize further changes, but should not contain passwords or matter records. Ask the backup to rehearse the process from the document alone. Any step that requires private memory should be clarified before the system depends on that fallback.

05

Handoff record

Record these task-specific fields: control location, allowed action, approval contact, restore check.

06

Acceptance check

Ask the backup to restore a fictional failed route using the guide alone. They should verify the outcome and avoid improvising new destinations.
