Resources / Consultation requests

Describe a cancellation request accurately

Avoid telling a caller that a consultation is canceled before the authorized process completes.

01

The operational decision

Avoid telling a caller that a consultation is canceled before the authorized process completes. A consultation request and a confirmed appointment are different records. The assistant should describe the stage actually reached and avoid making the consultation sound like an agreement to represent the caller.

02

Prepare the workflow

Define the firm-approved cancellation route and notification wording; keep any fee or policy question with staff.

03

Example wording for approval

“Please use the example firm's approved cancellation process. This conversation alone does not confirm a canceled appointment or a change to any applicable fee policy.”

04

Worked example

A fictional visitor submits a cancellation request through a form that sends work to staff rather than changing the calendar. The acknowledgment should identify a pending request and the approved confirmation process. It must not interpret any fee policy or say that charges were waived. If the later calendar action fails, the staff owner needs a visible unresolved item. The review should distinguish the visitor's intent, the received request and the final appointment state as three separate facts.

05

Handoff record

Record these task-specific fields: request type, approved channel, confirmation state, reviewer.

06

Acceptance check

Make the fictional cancellation action fail. The response should state that cancellation is unconfirmed rather than silently marking the appointment canceled.
