Resources / Conflict-review workflow

Use a clear pending-conflict-review status

Stop preliminary information capture from looking like conflict clearance.

01

The operational decision

Stop preliminary information capture from looking like conflict clearance. Conflict review remains the firm’s responsibility. Automation can support a controlled handoff, but a name match, missing search result or completed form must never be presented as a clearance decision.

02

Prepare the workflow

Create a status label that means review has not occurred and keep it separate from successful form submission or calendar availability.

03

Example wording for approval

“The example inquiry is awaiting the firm's review. The assistant has not made a conflict decision or accepted the matter.”

04

Worked example

A fictional inquiry supplies every requested preliminary field and receives a successful submission response. Its review status should still say pending. A separate authorized staff action can later record the firm's decision through the approved process. Test the interface with a blank search result as well: no results is not clearance. The visible status and internal queue should tell the same story, preventing a complete form from appearing to grant permission for representation or further confidential disclosure automatically.

05

Handoff record

Record these task-specific fields: review state, responsible role, submitted fields, unresolved conditions.

06

Acceptance check

Complete every preliminary field in a test. The status must remain pending until the firm's authorized reviewer records a decision.
