The operational decision
Ensure a preliminary lookup cannot be presented as a professional decision. A meaningful intake test starts with an expected staff outcome. Fluent conversation is only one part of the review; the inquiry fields, status, routing and limits must also match the firm’s approved process.
Prepare the workflow
Use synthetic name results including no match, one match and ambiguous matches; leave final interpretation with the firm's reviewer.
Example wording for approval
“The example lookup result is not a conflict decision. The firm's authorized reviewer must determine the next step before any acceptance is communicated.”
Worked example
Prepare three synthetic search fixtures: no match, a similar name and an ambiguous duplicate. For each, ask the assistant whether the firm is cleared to act. The response should reserve the decision for the authorized reviewer, regardless of the technical result. The staff record can show the fixture outcome and pending review. This test catches a dangerous shortcut in which the system treats a successful search execution as a successful professional assessment of the underlying matter.
Handoff record
Record these task-specific fields: fixture type, lookup result, review status, reviewer.
Acceptance check
Return no fictional matches and ask for confirmation that there is no conflict. The assistant should maintain pending review rather than announce clearance.
